Press Operations Manager

Rate of Pay: $42,000.00 to $49,682.00 annually, commensurate with experience. This wage band is set and not subject to negotiation.


Job Purpose

The Press Operations Manager is responsible for overseeing the daily operations of Bishop Museum Press, ensuring the effective management of its administrative, financial, and programmatic functions. This position manages sales and order fulfillment, inventory control, and marketing initiatives including the online store and seasonal pop-up sales while maintaining strong relationships with customers, vendors, and authors. The role provides administrative and fiscal support, contributes to departmental planning and grant activities, and assists with production-related tasks to advance the Press’s publishing goals.

Duties and Responsibilities

  • Oversee the day-to-day operations of Bishop Museum Press.

  • Manage sales and order fulfillment (individual and wholesale), inventory control, and marketing activities, including social media.

  • Maintain and update Bishop Museum Press’s online shopping site (bishopmuseumpress.org).

  • Coordinate and manage all aspects of occasional or seasonal pop-up sales.

  • Foster and maintain effective communication and positive working relationships with customers and vendors via email, phone, and in person, as appropriate.

  • Serve as a point of contact with authors regarding operational matters such as royalties and author copies.

  • Assist the Editorial and Production Manager with production-related tasks.

  • Provide oversight and guidance to occasional interns.

  • Contribute to departmental planning, goal setting, and grant-writing activities.

  • Provide administrative support for Press projects and programs; develop, implement, and maintain procedures to improve operational efficiency.

  • Monitor and process purchase orders, verify receipts, and prepare invoices for payment in accordance with Museum policies and procedures.

  • Assist the Director of Library & Archives with budget preparation; monitor expenditures to ensure fiscal accountability and maintain a balanced budget.

  • Respond to general departmental inquiries, consulting with others or referring matters to the appropriate individual or department as needed. Exercise discretion with sensitive or confidential information.

  • Compile and prepare statistical reports and other information for key Museum departments (e.g., Accounting, Legal) as requested.

  • Maintain organized departmental files and records, including inventories, budgets, purchases, and production and cost data. Ensure proper handling of confidential information.

  • Perform other duties as assigned to support the goals and objectives of the Museum.

Qualifications

Required Qualifications

  • Five or more years of experience in business administration, office management, or executive support; or one to two years of experience in a responsible office management capacity

  • Strong written and verbal communication skills, including excellent grammar and analytical ability

  • Strong interpersonal and organizational skills with the ability to work effectively both independently and as part of a team

  • Demonstrated ability to manage time effectively, prioritize tasks, and meet deadlines under pressure

  • Proficiency in computer technology, including Microsoft Outlook, Word, Excel, and Teams, as well as internet applications; ability to learn new systems and troubleshoot issues as needed

Preferred Qualifications

  • Supervisory experience

  • Sales and marketing experience

  • Experience with the Shopify platform

Other Requirements

  • Residence on the island of O’ahu required.

  • Flexibility in working hours, as some evening and weekend work is required

Working Conditions

Work is performed primarily in a standard office environment with frequent use of a computer, phone, and other office equipment. The position requires extended periods of sitting, with occasional standing, walking, reaching, and light lifting of up to 50 pounds in support of inventory, order fulfillment, and pop-up sales. Some work is performed outdoors during occasional or seasonal pop-up sales, which may involve exposure to varying weather conditions. The role may also require occasional evenings and weekends to support Museum events, sales, or departmental deadlines. This position requires consistent attention to detail, the ability to manage multiple priorities, and regular interaction with staff, authors, vendors, and the public.

Physical Requirements

This position requires the ability to remain seated at a desk and use a computer for extended periods. The role also requires regular standing, walking, bending, reaching, and handling of materials. The employee must be able to lift and carry up to 50 pounds in connection with inventory, order fulfillment, and pop-up sales. Occasional set-up and breakdown of outdoor sales or event materials may be required.
